Question : How to access another users contacts in notes

HI Every as you can see from my question i am very very new to lotus notes and would like some help with this question please.

I started a contract to provied 1st level Notes Support and was going to get some training but unfortunatly i have been pushed in the deep end as all the rest of the notes team has gone of sick...

so i will proberbly be bothering you guys for help quite abit.

Plus i would like to know how to add a shortcut to the archive mails for a user as well.

Answer : How to access another users contacts in notes

A couple of questions about the Notes environemnt such as the version of Lotus Notes mail used as this will mean different answers.
Also is this accessed using Notes client software only or Web access
Do you need contact access to be manual open database and lookup or part of the mail read ahead function.

On notes clients the contacts/address book is a seperate database on the local machine called names.nsf.
To share with other people access must be granted and it must be replciated to a server for central access.
First make sure that default access or just specific people have at elast reader level access to the database.
(File..Database/Application..Access Control)
Next make a replica of the database on the server so other people can acess it centrally.
(File..Replication..NewReplica) !!IMPORTANT!! Ensure that you chaneg the file name from names.nsf to a different folder and different filename. If you try to overwrite names.nsf on the server you will have big issues. Also make sure you select server in drop down box.
To create a replica users must have the security permissions to create new replica on server.

On machine that you wish to access the other persons contacts.
Open the replicated address book on the server.
Make a local replica of the database to local machine.
(File..Replication..NewReplica) Again change filename or it will overwrite your own address book
To make address lookup work then in (file..Preferences..UserPreferneces) select mail general page and you can select local address books. Browse and select the database you replciated down.

Restart your client and it should now appear in available address books when you select To: or start typing a name.

What do you mean by shortcut to archive.
If just the database fiorst find it on server and open it. Thewn drag the tab at top of window ontop left and bar to create a bookmark/shortcut.
